Wedding Transportation: Tips for Hiring a Wedding Limo or Bus

Planning a wedding is no easy task, and when you add transportation into the mix, things get even more complicated. How are you supposed to get your guests from Point A to Point B? Should you hire a limo for the wedding? Do you need shuttle buses?

Your list of questions probably goes on and on. Fortunately, limo companies work weddings all the time. In fact, R&R Limousine & Bus has been providing wedding transportation in Austin since 2006, and we wanted to share some transportation planning tips that we’ve learned over the years.

Are you planning transportation for a wedding in Central Texas? If so, here are a few things to consider as you go about the process.

Who Needs Transportation?

As you put together your transportation plan, start with a headcount. Who, exactly, will need a ride? Some weddings need vehicles for a small group – say the wedding party – while others prefer to hire transportation for guests, family and the attendants. For your wedding, you might consider transportation for:

  • Bride and groom
  • Wedding party
  • Family
  • Shuttle service for guests

Types of Vehicles for Weddings

Once you’ve determined the size of your group, you can choose the types of vehicles you’ll need. Austin’s best limo companies have fleets that can accommodate groups of all sizes – from 4 to 54. R&R Limousine & Bus, for example, hires out a wide range of luxury vehicles and we provide vehicles to accommodate weddings of all sizes. The most common vehicles we rent for weddings include:

  • Stretch LimosThe classic wedding vehicle, limos can transport up to 10 guests and are best for wedding parties or family groups.
  • Luxury SUVs and CarsPerfect for transporting small groups, say the bridge and groom, or the bride and groom’s families.
  • Sprinter VansA top choice for shuttling small groups from the ceremony to the reception, our sprinter vans accommodate 13.
  • Executive BusesSleek and stylish, executive mini buses are the perfect solution for shuttling large groups of guests. Our mini buses accommodate 31.
  • Party BusesBesides limos, party buses are a popular choice for wedding parties. Our buses accommodate groups up to about 20.

Where Are You Going?

Most commonly, limo service is “ride-and-wait.” That means you book the vehicle(s) for a certain number of hours, and you have use of those vehicles during those hours. The driver waits for you and your group, while you attend the ceremony or take pictures. In other words, you can go to multiple places during the times you’ve reserved. Most wedding parties look for transportation to and from:

  • Ceremony
  • Photo Locations
  • Reception
  • After Party

Of course, it’s up to you how you want to schedule your wedding day transportation. Some groups choose to get picked up and arrive at the ceremony in a limo. Others prefer to start limo service after the ceremony. Ask the limo company how best to use your allotted time.

Shuttle Service for Wedding Guests

Suppose your wedding venue doesn’t have parking. Or maybe the ceremony and reception aren’t within walking distance. Shuttles are a solution for both of these common scenarios that provide convenience for your guests.

Wedding shuttles work like this: You set pick-up and drop-off locations for your shuttle. Then, the shuttles moves back and forth for a set period of time or on a pre-determined schedule. Most commonly, shuttles are used for transportation between the ceremony and reception or from the hotel to the wedding venue.

Shuttle service allows you to get wedding guests to the venue on time and as a group. Plus, shuttles are great if your venue has limited parking.

Budgeting for Wedding Limos & Buses

You have an idea about the type or types of vehicles you will need. Now, it’s time to start inquiring with Austin limo companies about rates and availability. The majority of wedding limo companies charge by the hour and almost all have a minimum time requirement. Most, for example, require you book at least 3 hours. Ultimately, the pricing depends on the type of vehicles you’ll be choosing, as well as the day of the week.

This price does not include a tip for the driver. Usually, a tip of 15 to 20 percent of the base fee is expected for exemplary service. Plus, rates may include a cleaning fee, and to secure a reservation, you’ll also be asked to pay a deposit, which is typically, 25% of the quoted price.

Book Ahead and Plan Early

As you develop a transportation plan, be sure to give yourself plenty of wiggle room. Pad pick-up times by about 20 to 30 minutes. You don’t want to be late to your own wedding, because of traffic, or due to something unexpected. Also, it’s helpful to make a reservation. Austin’s best wedding limo companies allow you to stop in for a visit to see the vehicles. This way, you can board buses and limos and determine if they’re what you have in mind. Additionally, during the visit, you can have any questions answered and chat with the rental company.

You’ll also want to book early, 4 to 6 months in advance. The reason: Limo companies do book up for important dates, and the last thing you want to do is be scrambling for transportation the week of your wedding. Yet, don’t just rely on a verbal agreement or a vague agreement. Ask for a written contract for your wedding date, and once you’ve signed the contract and paid your deposit, rest easy! Your transportation plan is complete.
